ORGANIZATIONAL SUMMARY:
The International Wolf Center (IWC) is an educational organization that works to advance the survival of wolf populations by teaching about wolves, their relationship to wildlands and the human role in their future.

POSITION SUMMARY:
The Office Administrative Specialist plays a crucial role in office administration. As one of the first points of contact, they help build and maintain positive relationships with visitors and members through phone calls and written correspondence. This position is responsible for assisting with efficient operations by supporting a variety of critical administrative and human resources functions for the International Wolf Center.
PRINCIPAL DUTIES AND RESPONSIBILITIES:
Ely Office Support – 50%
- Promptly and courteously answer and direct incoming business calls and answer voicemails. Accept customer calls concerning membership, education programs, wolf information, visits to the Ely interpretive center and retail. Forward calls to the appropriate department as needed.
- Receive, sort and distribute incoming mail and packages. Open organization correspondence. Mail out appropriate mail, information and responses on a timely basis.
- Enter invoices and expense reports for processing in Certify as needed.
- Prepare and process daily bank deposits for admissions, membership, development, education and retail.
- Maintain voice mail system and office phones with current information.
- Generate and distribute invoices for education programs and other revenue-generating programs.
- Inventory and order office supplies.
- Maintain and organize Ely office, including storage of archived documents, publications and information.
- Support events and meetings at the Ely interpretive center.
- Prepare reports, letters, charts and other materials as needed.
- Operate within the confines of approved budgets- striving to optimize revenue and control expenses.
- Other responsibilities as designated by the Interpretive Center Director.
Human Resources Support (50%):
- Assist managers with the hiring process for new employees including, sending job postings to external job sites (MN Council of Nonprofits, LinkedIn, etc…), completing initial screening of applications to check for minimum qualifications and scheduling interviews with prospective candidates.
- Implement onboarding process for new employees (required document submissions, background checks, offer letters, etc.).
- Maintain and update employee records in multiple HR systems (ADP, BenefitSolver, Ease, etc..) under the direction of the Director of Administration and Finance.
- Research and provide answers to employee questions about their benefits package.
- Research, develop and implement an employee training program for topics identified as priorities by management.
- Work with the Executive Director to facilitate the annual Performance Review process and Employee Handbook policy review.
- Maintain a file of current job descriptions for all employees
- Track professional development for IWC employees.
- Prepare reports and other materials as needed.
- Other duties as assigned.
QUALIFICATIONS:
Required
- Four years office administration, human resources, bookkeeping or other relevant experience.
- Outstanding verbal and written communication skills and attention to detail.
- Exceptional interpersonal skills.
- Ability to maintain a high level of confidentiality.
- Enthusiasm for equity, inclusion, diversity, and access with an openness to learning.
- Ability to work independently with limited supervision, willing to handle concurrent tasks and make appropriate judgments and decisions.
- Ability to create, manipulate, and utilize spreadsheets, database, word-processing and email programs and internet applications.
Preferred
- Experience with QuickBooks accounting software.
- Experience with ADP payroll system and/or benefits management.
WORKING CONDITIONS:
- Able to sit for long periods, stand, walk on level surfaces and up and down stairs, and carry/lift up to 30 pounds.
- Able to work occasional weekends, evenings and holidays as needed based on the needs of the organization.

Internships
The International Wolf Center offers two wolf education internships throughout the year. Typically internships are offered during the summer months and academic school year, although timing may change depending on programming needs. A degree in environmental education or related field, or prior teaching experience is preferred for the position.
